Accounting: New Business Intake Specialist

Morris James LLP has an immediate opening for a New Business Intake Specialist in its Wilmington office located at 500 Delaware Ave. The New Business Intake Specialist works under the direction of the Director of Finance. The candidate hired for this position will primarily focus on generating new business/matter intake lists and preparing conflicts of interest reporting needed for the firm’s risk management while assisting with other accounting responsibilities.

Position requires a self-motivated individual with the ability to multi-task and prioritize under tight deadlines. Ideal candidate possesses excellent interpersonal, communication (written and oral) as well as analytical skills to effectively work with a diverse group of attorneys, staff personnel, and clients. An excellent working knowledge of Microsoft Office 365 products is necessary. Previous legal new business intake experience preferred. A degree in accounting or equivalent combination of education and law firm experience is ideal.

The hours for this full-time, non-exempt position are 8:30 am – 5:00 pm or 9:00 – 5:30 pm, Monday-Friday, with occasional overtime. This is a hybrid position and salary is commensurate with experience.

Primary Duties & Responsibilities include:

  • Open new business client lists in the firms time and billing system as requested after a conflict check is completed and verified
  • Manage spreadsheets for large party imports
  • Prepare and distribute a new business/matter report on daily basis
  • Prepare and distribute conflicts check results as requested
  • Process changes and corrections to the new business and client data in the time and billing system
  • Responsible for after-hours expedited conflict requests
  • Train new employees on new file intake process and workflow procedure
  • Perform research on time-sensitive Inquiries as needed
  • Upload, enter, and post cost recovery data from various sources into time and billing system(Westlaw, LexisNexis, Soft Costs)
  • Generate checks to satisfy delivery and courier service bills and research inquiries for vendors when requested
  • Backup to accounts payable workflow requests when A/P specialist is not available
  • Backup to process credit card payments when A/R specialist is not available
  • Close client files in time and billing system when directed
  • Manage all Origination and Retirement credits on matters
  • Provide support and assistance to address other accounting responsibilities as needed

  • Ability to organize and prioritize numerous projects/tasks simultaneously and complete them under time restraints to meet deadlines
  • Must be detail-oriented and demonstrate ability to multi-task and work in a fast-paced environment

  • Ability to use exercise initiative and good judgment to work independent as appropriate and as a member of a team
  • Ability to use discretion and maintain confidential information


  • Familiarity with law firm accounting responsibilities, ideally with experience in the handling of conflicts of interest reporting and opening of new business client lists
  • Aderant Expert and workflow experience is a plus
  • Must be computer literate with strong working knowledge of Microsoft Exchange Word and Excel
  • Flexibility to work overtime on an as-needed basis to meet deadlines
  • College degree in accounting preferred, but not mandatory
  • May be required to retrieve and distribute files, written documents, or office supplies weighing up to 10 pounds
