LEGAL ADMINISTRATIVE ASSISTANT

Morris James LLP seeks an entry-level Administrative Assistant to work in its Wilmington office located at 500 Delaware Ave. The Administrative Assistant will support attorneys & paralegals in its Business Transactions, Strategic Planning & Counseling Practice group. This position requires a candidate to possess excellent computer, interpersonal, organizational, and communication (oral and written) skills. The ideal entry-level candidate will work closely with the attorneys and paralegals and preferably have 1-2 years’ administrative work experience, ideally in a legal or professional services firm.

The ideal candidate will be a self-motivated person who has an excellent working knowledge of Microsoft Office 2016 products (Word, Outlook, Excel, PowerPoint) and demonstrates proficient word processing skills. Candidates for consideration will be expected to perform all responsibilities with a commitment to providing superior service to the firm's clients, attorneys, and staff, and maintaining an atmosphere of teamwork and continuous improvement.

The hours for this position are 9:00 am - 5:30 pm, Monday-Friday, with some occasional overtime. This is a full-time, non-exempt position. Salary commensurate with experience.

PRIMARY DUTIES & RESPONSIBILITIES include but not limited to the following:

* Provide clerical support (includes answering telephone calls and assisting with responses to emails, generating correspondence and legal documents, editing, proof-reading, printing, scanning, and filing documents)
* Enter/submit attorneys’ time and process billing (familiarity with Aderant Expert is a plus)
* Properly maintain/file documents into electronic management system
* Submit expense forms to accounting department in a timely manner
* Schedule/calendar appointments and reservations in Outlook, including travel arrangements
* Prepare conflict of interest requests
* Maintain positive contact with clients, attorneys, and colleagues 
 
QUALIFICATIONS:

* Minimum of 1-year experience as an administrative assistant
* Must be proficient in Microsoft Office 2016 products and possess strong word processing skills
* Strong customer-service oriented approach & positive, professional attitude
* Detail-oriented self-starter who can accurately manage multiple tasks and meet deadlines
* Ability to exercise initiative & good judgment to work independently as appropriate & as a member of a team.
* Possess excellent interpersonal skills & ability to interact with a diverse group of attorneys & staff in person or by email/telephone.
* Must be detail-oriented & possess excellent communication (written & oral) skills.
* Excellent at organizing/prioritizing numerous projects/tasks simultaneously to meet tight deadlines.
* Available to work additional hours when needed
*Ability to use discretion and maintain confidential information
* Familiarity with File Site/Imanage or similar document management system is helpful

DESKTOP ENGINEER

Morris James LLP seeks a Desktop Engineer to work in its Wilmington office located at 500 Delaware Ave. The Desktop Engineer works under the direction of the IT Manager and the Chief Information Officer and will provide system administration, support, maintenance, and operation of the firm's Microsoft Windows desktop environment within its six offices and multiple practice groups.

The ideal candidate will be a self-motivated person who possesses a degree in a related technical discipline or the equivalent combination of education, technical certification and work experience. A minimum of 5 years’ of work-related experience preferred, ideally in a legal or professional services firm.

The Desktop Engineer will be responsible for monitoring the performance and configuration of the Desktop environment to help improve user experience as well as ensure that all systems meet the firm's security requirements. Candidates for consideration will be expected to perform all responsibilities with a commitment to providing superior service to the firm's clients, attorneys, and staff, and maintaining an atmosphere of teamwork and continuous improvement.

PRIMARY DUTIES & RESPONSIBILITIES include but not limited to the following:

* Perform helpdesk incident and problem support of all firm systems and provide necessary recommendations on potential image/system enhancements, speed, security, etc.

* Perform hardware & software installations & upgrades to operating systems & overseeing the deployment of business-critical applications to the firm’s desktop environment.

* Identify, research, & resolve technical problems. Respond to telephones calls, email, and personnel requests for technical support. Track & monitor problems to ensure timely resolution.

* Perform administrative tasks within Active Directory & Group Policy Management.

* Develop & maintain processes, procedures for the IT team.

* Evaluate new technology based on departmental or business needs.

* Maintain a continuous cycle of patching & reports to ensure firm-wide compliancy.

* Continuously monitor the environment, procedures & processes to identify problematic trends & proactively recommend/implement solutions.

* Develop & promote standard operating procedures.

* Participate in disaster recovery planning & testing.

* Maintain knowledge of emerging technologies & provide input for process improvement.

* Work with vendors to open & manage vendor problem tickets to resolution.

* Participate in cross-functional team projects to implement new or updated technology.

* Support special litigation or transactional practice groups’ projects as they arise.

* Other duties as assigned by the IT Manager or Chief Information Officer.

OFFICE ASSISTANT

Morris James LLP seeks an Office Assistant to join its Georgetown office located at 107 W.
Market Street. This entry-level position requires a candidate possess excellent computer,
interpersonal, organizational, and communication (written and oral) skills. Excellent working
knowledge of Microsoft Office products and proficient word processing skills is essential.
The hours for this position are 8:00 am - 4:30 pm., Monday-Friday. This is a full-time, non-exempt
position.

PRIMARY DUTIES AND RESPONSIBILITIES include:

  • Open and distribute mail and packages, to include UPS & Federal Express deliveries.
  • Retrieve telefaxes from fax machine and distribute to appropriate personnel.
  • Maintain/stock paper in copiers. Make copies for attorneys/staff as needed.
  • Handle all office runs to include, but not limited to post office, Courts, Recorder of Deeds,
    and other offices in town to drop off/pick up mail, documents, etc.
  • Provide backup assistance to receptionist position when receptionist is away from the office or
    on break.
  • File, scan, and shred files at the completion of cases. Manage and organize both physical and
    electronic documents to maintain compliance with the firm's record retention policy.
  • Update library books.
  • Update postage machine as needed; run postage on outgoing mail.
  • Handle remote deposits with appropriate bank for the firm's Personal Injury escrow and
    general escrow accounts.
  • Maintain/track petty cash spreadsheet.
  • Provide appropriate clerical/administrative support to attorneys/staff as needed.
  • Notify office personnel when banks/courts/post office are closed (3 days in advance and a
    reminder on the day of closings).

SKILLS:

  • Proficient in Microsoft Office 2016 products and possess strong word processing skills.
  • Must possess excellent interpersonal skills and ability to proiessionally interact with a diverse
    group ofattorneys, staff, clients, out-of-state-counsel, opposing counsel, and Court personnel by
    email, telephone, and in person.
  • Strong customer-service-oriented approach and positive, professional attitude.
  • Ability to use discretion and maintain confidential information.
  • Ability to exercise initiative and good judgement to work independently as appropriate and as a
    member of a team.
  • Ability to organize/prioritize and complete projects/tasks simultaneously and accurately.
